Secretary

A busy Construction Firm is looking to hire a full time secretary.  The candidate  will play a pivotal role in ensuring the smooth operation of administrative tasks within the company. 

Responsibilities:

Perform general clerical duties including but not limited to photocopying, faxing, typing, mailing, and filing.

Organize and maintain paper and electronic files, ensuring accuracy and confidentiality.

Serve as the primary point of contact for internal and external communications, both written and verbal

Screen and route incoming calls and correspondence to appropriate personnel. 

Assist in the preparation of presentations, reports, and proposals.

Maintain and update databases and records, ensuring accuracy and completeness.

Manage and distribute incoming and outgoing correspondence.

Coordinate with other departments to ensure timely completion of tasks and projects.

Assist in the coordination of logistics for meetings, events, and projects as required.

Assist in addressing client inquiries and providing necessary information or redirecting them to the appropriate personnel.

Qualifications:

Excellent organizational and time management skills with the ability to prioritize tasks.

Strong communication and interpersonal abilities.

Attention to detail and problem-solving skills.

Discretion and confidentiality in handling sensitive information.

Ability to work independently with minimal supervision and as part of a team.
