A real estate development firm is seeking a capable Executive Assistant.
The Executive Assistant will provide administrative/technical support and project management assistance, communicate with internal and external entities, interface between two leading company Executives, assist with special projects, and complete other related duties.
Responsibilities:
- Proactive in managing the Executives' time with the utmost efficiency.
- Interfacing with various entities on behalf of the Executives, including banks, builders, architects, inspectors, vendors, legal entities, managers, company staff, and more.
- Conducting research for existing and potential projects. Compiling reports and presenting findings.
- Drafting and editing various contracts and business documents.
- Managing calendars; coordinating and scheduling meetings.
- Scheduling travel arrangements.
- Following ongoing projects, assisting as appropriate and providing updates to Executives.
- Developing relationships with internal and external resources, communicating with internal and external entities and ensuring proper flow of internal/external information.
- Attending meetings as necessary and handling follow-ups.
- Maintaining certain vendor agreements (signings, renewals and terminations) and facilitating negotiation processes with such parties.
- While performing the functions above, work to develop, and demonstrate a working knowledge, of the company’s structure, operations, policies and procedures, to become a valuable resource.
Qualifications:
- Previous experience as an Executive Assistant.
- Ability to understand what to work on without guidance.
- Experience in real estate and/or construction field.
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- Good project tracking/management skills.
- Excellent interpersonal and communication skills (verbal and written), with the ability to interact effectively with individuals at all levels.
- Strong organization skills with ability to prioritize work and work independently.
- Possess a superior level of professionalism and the ability to maintain strict confidentiality.
- High work standards and strong attention to detail and accuracy.
- Ability to flourish in a collaborative, team-based environment.
Location: Brooklyn, NY
Salary: $150K
